This position is responsible for providing administrative and clerical support to the Educational Talent Search program.  Working closely with the ETS staff, in the strictest confidentiality, assisting in the completion of pending projects, grant reporting requirements, new initiatives, as well as daily administrative support-related tasks.

 

Responsibilities

 

  1. Performs customer service functions, responding to program requests/questions, applicant inquiries, and providing departmental forms.
  2. Creates new ETS student files, files individual documents into appropriate files, and transfers files according to student status.
  3. Assists with new student applications and student forms, in office .
  4. Assists the ETS staff and external evaluator with various research and/or special projects.
  5. Schedules meetings and other obligations as requested.
  6. Assists with the preparation of correspondence and processes mail.
  7. Assists with ETS events, activities, or presentations.
  8. Makes photocopies, faxes documents, and performs other office-related functions.
  9. Adheres to and supports departmental objectives, policies, and procedures.
  10. Supports and serves as a role model for our mission, vision, values, and customer service initiatives.
  11. Adheres to the college’s policies and procedures, and compliance guidelines.
  12. Remains aware of the needs of the Educational Talent Search program and takes initiative to meet those needs.
  13. Per the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act),a federal consumer protection law, your job position entails functions that meet the definition of a Campus Security Authority (CSA).  CSAs have a duty to report any crime to the College’s Clery Compliance Officer. This information may be disclosed to them directly, through third-party, or witnessed. As a CSA, you are required to complete annual training which is provided by the College. This training encompasses your role, responsibilities, and reporting obligations.
  14. Performs other duties as assigned.

Qualifications

Knowledge, Skills, Abilities:

  • Ability to work in high volume, high traffic, highly confidential office.
  • Ability to communicate effectively and relate to others in a positive, professional manner.
  • Ability to identify and resolve problems in a timely manner.
  • Competent skills in gathering data.
  • High skill level in written communication (e.g., proper grammar, spelling, and punctuation).
  • Strong coordinating and prioritizing skills.
  • Ability to work in a collaborative and positive manner.
  • Computer skills including Microsoft Word, Excel, Canva and web posting abilities.
  • Ability to use and/or learn administrative and scheduling software.

Education, Certification, Licensure:

  • Working toward an Associates degree or higher required.

Experience:

  • One to three years previous office work experience preferred.

Working Environment:

  • The job responsibilities of this position are performed in an office environment which requires a professional image and demeanor, on-time attendance and reliability. The environment has minimal, if any, discomfort due to heat, cold or dust. There is minimal noise within the environment.
  • Travel to other campus locations is required.
  • Travel for conferences/training/workshops is required.
  • Duties are performed in an independent atmosphere without close direct supervision.
  • The job has intermittent periods during which continuous physical exertion is required, such as walking, standing, sitting, stooping, bending, climbing, lifting material or equipment, some of which may be heavy or awkward (5- 45 pounds).
  • Must meet reasonable and sometimes shifting deadlines, quotas, or demands for accuracy, and may occasionally be involved in sensitive conversations with students or staff members.
  • Typical work schedule is 8:00am – 4:30pm with flexible or extended hours as needed by the Director of Educational Talent Search.
